As Project Coordinator you are responsible for supporting the activation and implementation of different strategic activities at the event. You have in-depth knowledge and experience in event organization and project management.

Role type: Short term contract until 10th March 2023

About The Role

As our events are returning with strong momentum within the industry, you will play a key role in enabling us to hit our ambitious targets. You will be working directly with the 4YFN strategy Manager on the planning and execution of key activities at the event, focused on, but not limited to, the 4YFN strategic programmes.

The 4YFN programmes entail a unique mixture of content, networking opportunities and exhibition. They are designed to cater to a range of stakeholders including sponsors and partners, startups, investors, corporations, event attendees and more.
The purpose of the role is the management, coordination and execution of some 4YFN activities, and matchmaking activities. The main tasks include:

- Pre event operational planning, onsite logistics, and scheduling
- Internal scouting of the exhibitor database, identifying entities who stand to gain from the activities organised.
- Liaison with internal and external stakeholders to coordinate their involvement in the different activities
- Onsite coordination of activities, ranging from management of programme spaces, stakeholder check-in and welcome, activity schedule and dynamics ownership, guidance of support staff, and more

About You

You will have a proven track record in successful operational, project and and delivery, of complex multi-stakeholder events, internationally. Preferably your will have previous experience in events related to technology and innovation.
You are an excellent and dedicated task owner, autonomous in your work. At the same time, you are one who knows when to request support and inform on emerging obstacles.
You will need to efficiently communicate with and manage a number of stakeholders of different profiles and plan multiple sessions simultaneously, so ability to multi-task and prioritize timelines is key.
You are confident in providing high level service and ensure consistent approach to all partners.
You have good interpersonal skills and can effectively and clearly communicate with a range of external stakeholder - including startups, investors and corporates - as well as internal stakeholders. You have excellent stakeholder management skills and you can demonstrate a record of success and “delivering” in a complex, challenging environment with internal and external stakeholders.
You must demonstrate ability to create clear onsite schedules, and show strong organization skills such as effective documentation through Excel, PowerPoint, Microsoft Word, etc. Salesforce knowledge is an advantage.
You must be transparent in your work and willing to coordinate with other team members.
Your professional background is in the global B2B events industry, with substantial experience of successful events delivery. You have a strong understanding of the challenges facing the events industry to remain competitive and innovative and have good foundation of the detail and skills required to deliver a high quality, successful event.
You can demonstrate your ability to work under pressure and at times to tight deadlines. You are considered in your communication, tailoring the style to your audience, are flexible in your approach by adapting to the different ways in which teams work and show an awareness of cultural differences.
