Join our team as Operations Admin Agent where you will be responsible for providing information and the planning for itinerary request, supporting agents and sub-agents. Working on this role, you will support the Operations and Commercial Team. Based in Barcelona, you will ensure excellent service for our internal and external clients.

ABOUT THE JOB

Responsible for providing port information and planning for itinerary requests, as well as organizing and confirming vessel berthing while resolving potential conflicts for our clients. Coordinate with Agents and Sub-Agents if needed.

Responsible for uploading and maintaining Solport: data for all calls, calls added, cancelled, or modified, cash to master and crew movement files for cargo ships.

Coordinate operations with Sub-Agents, keeping open communication and support to resolve doubts for all assigned Ports.

Maintain informed the Global Commercial Team of any updates to the vessel calendar including any modification/cancellation or additions of short-term calls caused by day-to-day operations, including but not limited to bad weather or sudden change of itinerary, against berth requests and port schedules.

Ensure IT incidents are solved (e-mail addresses).

Responsible for Port questionnaires control/certificates requests/bank accounts data changes maintaining a SharePoint file for different areas' consultations updated.

Responsible for gathering all the needed information and creating the Proforma for the assigned countries/ports.

Support Billing Team to resolve inconsistencies and errors between supplier invoices and our internal operational reporting. Support liaison with Billing on client's inquiries on Disbursement Account invoices.

Support Billing with/when a calendar of discounts that Cruise Lines could benefit from and at which ports.

ABOUT YOU

+2 years of previous experience as Operations Agent or similar.

Good academic background & knowledge in the ship industry are desirable and a plus.

Excellent communication skills in English language, both written and oral. Spanish language is a plus.

Analytical, Interpersonal and Administrative skills. Orientation to results and customer obsessed.

Good office administration and organizational skills with a keen eye for attention to detail.

Knowledge of Excel MS Office and IT systems.

Ability to work in a fast-paced and autonomous environment (remote/home office).
