Be part of an energetic and dynamic work atmosphere, with offices in the centre of Barcelona, Diagonal.RESPONSIBILITIES1.
Oversee and take charge of all administrative duties in the office2.
Handle orders of office supplies according to budget3.
Resolve issues with the facilities, such as needed maintenance or emergency repairs by contacting the appropriate contractor/service provider4.
Perform receptionist duties such as welcoming visitors and answering phone calls5.
Assist with office layout planning and office setups6.
Manage and maintain office IT infrastructure7.
Lead the planning and execution of company events, conferences, and team-building activities, including travel bookings8.
Collaborate with TR Recruiter to align office policies and practices with the company's culture and goals, including onboarding and employee experience initiatives9.
Manage the cleaning and other staff via outsourced/in-house resources10.
Implement and maintain procedures and office administrative systems11.
Manage contract and price negotiations with vendors, service providers and the landlord12.
Assist in managing Health & Safety requirements as per local norms13.
Provide other administrative support as necessary, including scheduling group meetings, maintaining calendars and creating reports14.
Suggest improvements to enhance office environment15.
Manage internal and external correspondence on behalf of the senior management as well as mail and courier services for the company16.
Attend meetings with or on behalf of the CEO, taking detailed notes, capturing key decisions, and documenting action items17.
Report directly to the Head of Operations and Compliance and the CEOREQUIREMENTS1.
Minimum 2 years experience as office manager or personal assistant2.
Excellent level of English and Spanish, Catalan or other languages are beneficial3.
Absolute discretion – you may be exposed to confidential information4.
Excellent communication skills5.
Ability to work autonomously and within a team, in a fast-paced environment6.
Strong organizational and time management skills7.
Must be proficient with Microsoft Office and Google products8.
