Responsibilities
  1. Act as a primary liaison between Cruise Line, port authorities, and other stakeholders to ensure the smooth and efficient handling and processing of vessel operations at ports of call, adhering to operational protocols and policies.
  2. Coordinate vessel arrivals, departures, and berthing arrangements with port authorities, terminal operators, security, government entities, and maritime service providers.
  3. Attend, monitor, and respond promptly to email requests from various regional email accounts.
  4. Facilitate vessel entry and clearance procedures, including customs, immigration, and health formalities, ensuring compliance with regulatory requirements. Utilize relevant systems for all vessel entry and departure processes.
  5. Collaborate with suppliers to ensure the delivery of safe, healthy, and sustainable services.
  6. Address daily operational issues and suggest workflow improvements to the Manager to enhance productivity and efficiency in port operations.
  7. Monitor vessel movements, port, and weather conditions to anticipate challenges, minimize disruptions, and communicate effectively with involved parties.
  8. Provide regular updates to vessel operators and Cruise Line's corporate managers; complete sail reports as required.
  9. Prepare invoicing/billing documents promptly, ensuring all backup documentation is properly stored.
  10. Participate in conference calls with vessels or cruise lines as needed.
  11. Manage the forwarding of vessel/ship packages, mail, medical luggage, or lost and found items, and notify relevant parties of tracking information and costs. Assist with lost luggage issues.
  12. Coordinate and provide medical assistance, including follow-up and updates, for crew or guests disembarked due to medical reasons, informing relevant departments.
About You
  • Excellent communication skills in English, both written and oral.
  • Strong academic background; maritime studies are desirable.
  • Previous experience as a Port Agent is preferred.
  • Problem-solving and analytical skills.
  • Strong organizational and administrative skills with attention to detail.
  • Proficiency in Microsoft Office programs.
  • Customer-oriented with decisive problem-solving abilities.
  • Availability for business travel if required.
