We are seeking a detail-oriented and organized Gallery Assistant to manage the administrative functions of our gallery, support the gallery's operations, manage office activities, and assist with event coordination and client relations.
Key Responsibilities:
Administrative Support:
• Manage daily administrative tasks, including answering phones, responding to emails, and handling correspondence.
• Maintain and organize gallery records, databases, and filing systems.
• Assist with scheduling appointments, meetings, and gallery events.
Client Relations:
• Greet and assist gallery visitors, providing information about exhibitions and artists.
• Maintain positive relationships with artists, clients, and visitors.
• Handle inquiries and provide exceptional customer service.
Exhibition Support:
• Assist with the preparation and installation of exhibitions.
• Coordinate shipping and receiving of artworks.
• Maintain accurate inventory records of artworks.
Event Coordination:
• Assist in planning and executing gallery events, openings, and artist talks.
• Assist in coordinating event logistics, including catering, setup, and breakdown.
• Manage event RSVPs and guest lists.
Marketing and Communications:
• Assist with the development and distribution of promotional materials, including newsletters, press releases, and social media content.
• Update the gallery's website and social media platforms with current exhibition information and events.
• Maintain the gallery's contact database.
Qualifications:
• Spanish residency and work permit
• Fluent English, Spanish. Catalan or other language is a plus.
• Previous experience in an administrative role, preferably within an art gallery or cultural institution.
• Strong organizational skills.
• Excellent written and verbal communication skills.
• Ability to work independently and as part of a team.
• Passion for the arts and a commitment to supporting the gallery's mission.
• Proficiency in Microsoft Office Suite and familiarity with database management.
