This position can be either home-based or office-based in Spain-Madrid. You will be responsible for, but not limited to, the following:

Essential Functions and Responsibilities:

A job with a strategic purpose:

  • Drive and execute the international congress strategy by focusing on key strategic pillars: Enhance customer journey/optimize experience.
  • Better equip and prepare staff for international congresses.
  • Increase awareness of our activities Better measure success and impact
  • Lead and execute ad-hoc strategic international customer-facing and internal meetings.

​Responsibilities, expectations & key tasks:

  • Manage and onsite execute all international congresses (developing & managing a yearly calendar of events with major deadlines, involving key stakeholders, developing and maintaining budget tracker, take accountability for pan-international booth builder relationships and execution, congress logistics, congress shipment handling, secure and manage congress marketing tactics to include but not limited to: footprint, symposia, bag inserts, e-blasts; corporate sponsorship packs, etc., drive booth duty "etiquette" & ensure staff in attendance have appropriate visibility)
  • Provide guidance to drive disciplined execution.
  • Challenge status quo and debate innovative options to optimize customer experience at congresses.
  • Supervise and ensure compliance: work with compliance to ensure all Healthcare/Medtech compliance requirements are met, and complete pre- and post-event compliance tasks.
  • Handle congress contracting, budget management, and payment processes

Qualifications:

  • Education: Bachelor's degree in business administration or congress / events management
  • 5+ years' experience managing congress exhibitions & B2B international meetings.
  • Languages: fluency in English both oral and written, is a must. Any additional international language(s) such as French, Spanish will be a plus considering the international role.
  • Prior experience in Healthcare / Medical Device industries is a strong asset.
  • Fluency with Microsoft Office require (word, excel, PowerPoints, MS teams,) + Zoom. Cvent is a plus.
  • Strong project management skills
  • Experience in planning complex (hybrid) event logistics & onsite management.
  • Strategic (congress exhibition) planning and implementation capabilities
  • Communication skills for both internal and external audiences
  • Ability to collaborate effectively with internal and external stakeholders.
  • Creativity, Curiosity, Accountability, prudent-risk taker
  • Collaboration, networking and influencing skills.
  • Budget management
  • Analytical: ability to collect data, analyze data and provide reports.
  • Vendor management & Contract negotiation
  • Familiarity with financial data collection and reporting
  • Ability to drive compliance admins and support congress contracting processes.
  • Time management, good organizational skills & adaptability, multi-project handling
  • Willing to travel regularly (up to 50%) internationally – OUS - (primarily in EMEA)
