What will your essential responsibilities include?
As part of the HR team, the HR admin & payroll colleague main mission is to:
Support all levels of HR locally with various operational tasks, partnering with HRBP and HR Community within the entity and transversally in the HR function
Work closely with HRIS and HR Operations function to deliver a variety of administrative tasks
Coordinate local payroll activities between AXA XL, payroll provider and HR teams
The HR Admin & Payroll main activities are to:
HR administration
Generate and execute all reports or queries and provide summaries of data for use in analysis or decision making
Improve and maintain all HR perimeter reports
Validate output against systems
Follow established procedures for updating, validating, and correcting employee records or other related HR data
Prepare end-user documentation or training materials as needed
Bring about all hiring and terminations process
Handle all employee life cycle letters
Document, formalize and maintain up to date all local HR processes
Support in expatriate and international mobility management
Time & Absence management
Benefits management (Insurances, Pension Plan, Shareplan, etc)
Management of Compliance processes such as CBI and background checks.
Implementation, development and/or follow-up of HR policies: SmartWorking, I&D, Equality Plan, Remuneration Register, etc
Communicate data changes (cost centers, positions, managers changes)
Provide support, guidance and expertise to resolve queries from employees and other stakeholders
Payroll coordination
Handle any front office activities as needed as per local procedures in-force on time management, payroll, personal data, etc..
Receive and validate payroll data
Prepare data inputs
Send data to Payroll provider for processing
Review, reconcile and approve vendor output reports
Liaise with finance for the booking of various payments
Share Sick note, Maternity notes, and the termination note for authority filling
Manage the new hire template to register with payroll vendor and regulatory authorities
Process and distribute on and off cycle information
Coordinate payroll activities and stakeholders
Labor relations
Application and interpretation of the collective bargaining agreement, labor regulations and internal policies on labor relations.
Prepare reporting and data to be presented to unions
Prepare all documents for individual agreements and settlements
Support dialogue with Labor Counsel
This position reports to Head of HR Iberia.

We’re looking for someone who has these qualifications and skills:
Several years of experience in HR administration or proven knowledge in HR Admin topics
Native/fluent Spanish with a good knowledge of English, written and spoken
Knowledge of any HR tool will be recommended ex: Oracle, SAP
Proficiency level of Excel
Good command of PPT
Time management skills
Team working
Agility & ability to learn
Schedule: Full-time
