The Sales Assistant plays a crucial role in supporting the sales operations of an airline company. This position involves providing administrative assistance to the sales team, managing sales-related documents and processes, and ensuring the smooth functioning of back-office operations. The Sales Assistant contributes to the efficiency and effectiveness of the sales department by handling administrative tasks and facilitating communication between internal teams and external clients.

Key Responsibilities: (job duties and responsibilities)

Sales Document Management: Assist in the preparation, review, and processing of sales documents such as contracts, agreements, and sales proposals. Ensure accuracy and completeness of documentation before submission to clients or management. Sales Support Coordination: Coordinate with internal marketing, finance, and operations teams to support sales initiatives and resolve customer inquiries or issues. Serve as a liaison between the sales team and other departments to facilitate seamless communication and collaboration. Catering Coordination: Coordinate catering services for scheduled flights, including meal planning, menu selection, and order placement with catering vendors. Please make sure that catering orders are accurately prepared, packed, and delivered to the aircraft promptly to meet flight departure schedules. Catering Logistics: Manage the logistical aspects of catering operations, including inventory management, stock rotation, and storage of inflight service items and catering supplies. Coordinate with ground handling agents and logistics providers to facilitate the efficient loading and unloading of catering supplies onto aircraft. Inflight Equipment Management: Oversee the maintenance and inventory of inflight service equipment, including food service carts, beverage trolleys, and galley supplies. Ensure that all inflight equipment is properly cleaned, sanitized, and stocked with necessary items for inflight service. Administrative Support: Support the sales team, including scheduling meetings, coordinating travel arrangements, and preparing presentations or materials for sales meetings and events. Compliance and Documentation: Ensure compliance with company policies, industry regulations, and legal requirements related to sales operations and documentation. Maintain confidentiality of sensitive information and adhere to data protection guidelines. Budget Management: Monitor catering and inflight service budgets, track expenditures, and analyze cost performance to identify opportunities for cost savings and efficiency improvements. Negotiate contracts and pricing agreements with catering vendors to optimize procurement and reduce expenses. Vendor Management: Establish and maintain positive relationships with catering vendors, suppliers, and service providers to ensure reliable and high-quality catering services. Evaluate vendor performance, resolve issues, and provide feedback to vendors to enhance service delivery and customer satisfaction. Customer Service Support: Provide assistance and support to flight crews, ground staff, and passengers regarding catering services, inflight amenities, and special requests. Address passenger inquiries, complaints, and feedback related to catering and inflight services promptly and professionally.

Requirements: (required qualifications, required skills, languages, preferred qualifications)

Bachelor’s degree in Business Administration, Marketing, or related field preferred. Previous experience in sales support, administrative assistance, or back-office operations within the airline industry is advantageous. Proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook) and CRM software. Strong organizational skills, attention to detail, and ability to manage multiple tasks and priorities effectively. Excellent communication and interpersonal skills, with the ability to collaborate with cross-functional teams and interact professionally with internal and external stakeholders. Analytical mindset with the ability to interpret data, generate insights, and make informed recommendations. Ability to work independently with minimal supervision, as well as part of a team in a fast-paced and dynamic environment. Knowledge of airline industry practices, ticketing procedures, and regulatory requirements is desirable but not mandatory.
